Live Film Screenings Volunteers

As a Live Screenings Volunteer, you’ll be at the forefront of the festival, serving as the first point of contact for audiences. You'll play a vital role in creating an unforgettable festival experience, all while developing valuable event management and customer service skills.

Main Tasks:

  • Venue Preparation: Help set up and organize the cinema venue before screenings, ensuring everything runs smoothly and on time.

  • Technical Support: Assist with the technical aspects of screenings, such as equipment handling, setting up projectors, and ensuring everything runs smoothly.

  • Logistics & Coordination: Help transport equipment, supplies, and promotional materials between venues.

  • Event & Exhibition Assistance: Assist side events, exhibitions, and the Film Olympiad’s after-party.

  • Welcome point and Information Desk: Welcome the audience and provide information to festival-goers, answering questions about screenings, venues, and events.

  • Audience Engagement: Provide helpful information, assist with seating, and ensure every attendee feels welcomed and informed.

  • People’s Choice Voting: Manage the collection and counting of votes, playing a direct role in determining audience favorites.

  • Content Creation: Document events, sharing content on social media to promote the festival.

Extra: Please keep in mind that you may be assigned to execute one or more than one of the tasks above. The distribution of tasks will be determined in meetings before the screenings, depending on the dynamics and the number of people in the volunteering team.

Special Event Planning Volunteers

Be a part of the team responsible for organizing side events, exhibitions, and the highly anticipated after-party. This role offers hands-on experience in event management, providing a rewarding opportunity to learn and grow.

Main Tasks:

  • Venue Management: Scout, manage, and negotiate with potential venues for Film Olympiad events, exhibitions, or after-parties. Ensure all venue requirements are met for a seamless experience.

  • Side Events Management: Scout and communicate with potential partners (artists, photographers, musicians, music producers, DJs, etc.) who wish to collaborate with the festival for a side event.

  • Guest & Invitation Management: Develop exclusive guest lists, create invitations, handle reservations, and ensure VIPs and other attendees are treated with star-level service.

  • Press & Media Relations: Engage with TV, radio, online platforms, and newspapers to promote the festival’s events, ensuring high visibility and positive public image.

  • Technical Coordination: Manage all technical aspects, including lighting and sound setups for events and the after-party, ensuring flawless technical execution.

Creative design and media Volunteers

Are you a social media enthusiast or aspiring creator? In this role, you'll help showcase the magic of the Film Olympiad to a global audience.

Main Tasks:

  • Social Media Content Creation: Capture live moments, behind-the-scenes footage, and audience reactions, then share them across the festival’s social media channels.

  • Blogging & Writing: Write engaging posts and articles about the events, filmmakers, and films for the festival’s website and newsletter.

  • Graphic Design: Create engaging, unique graphics for the festival’s website, posters, merch, etc.

  • Media Coverage: Help the festival’s press team by attending screenings, interviewing guests, and covering key moments.

Funding Ambassadors

As a Funding Ambassador for the Film Olympiad, you will play an essential role in helping to secure vital resources that support the festival’s growth and ensure its sustainability.

Main Tasks:

  • Sponsorship Outreach: Reach out to potential sponsors, both corporate and individual, and help secure new partnerships. You will be responsible for presenting sponsorship packages to potential partners and working closely with the festival's sponsorship team to achieve financial goals.

  • Donor Engagement: Cultivate relationships with individual donors, encouraging them to make contributions that support the festival’s growth. This might involve contacting previous donors, developing new outreach strategies, or working with the festival to create engaging donor campaigns.

  • Crowdfunding Campaign Management:
    Assist in developing and managing the festival’s crowdfunding campaigns. Work on platforms like Kickstarter or IndieGoGo to engage with the public and raise awareness of the festival, while securing smaller but valuable donations.

  • Event Fundraising Assistance: Work closely with the event planning team to organize fundraising events such as parties or screenings. As a Funding Ambassador, you would help with event logistics and ensure that all fundraising activities are promoted effectively, generating significant revenue for the festival.

A critical role for those with technical expertise to ensure the smooth running of virtual and physical events.

Main Tasks:

  • Website & IT Support: Assist with website updates, handle any technical glitches, and help with the maintenance of the festival’s digital platforms.

  • App & Streaming Support: Provide support for any festival apps or online streaming services, troubleshooting issues and helping users navigate digital platforms.

  • A/V Support: Help with the technical setup for live screenings, ensuring that projectors, sound systems, and other equipment work smoothly during the festival.

Administrative Support Volunteers

For those who want to run the festival behind the scenes. Ideal for volunteers who cannot attend the festival in person but are passionate about helping from afar.

Main Tasks:

  • Customer Support: Handle inquiries from attendees via email or social media platforms, offering guidance about schedules, or any festival-related queries.

  • Data Entry & Organization: Assist with managing databases, updating attendee lists, and organizing festival documentation.

  • Research & Analysis: Help the festival by researching potential partners, sponsors, or new filmmakers. Analyze data from previous festivals to improve future operations.

Archivist & Festival Historian Volunteers

Help preserve the history and legacy of the Film Olympiad by contributing to its archives and historical documentation.

Main Tasks:

  • Archiving: Organize and maintain records of past festivals, including photos, videos, programs, and other memorabilia.

  • Historical Research: Research and document the evolution of the festival, compiling data and creating content for future exhibitions or publications.

  • Storytelling & Narratives: Contribute to the storytelling of the festival’s journey, writing articles or creating videos that showcase the highlights and unique moments from past editions.

Hospitality & Guest Relations Volunteers

As a Hospitality & Guest Relations Volunteer, you'll be the welcoming face of the Film Olympiad. You'll assist filmmakers, industry professionals, and VIP guests, making sure they feel welcome and cared for throughout their festival experience.

Main Tasks:

  • Guest Assistance: Greet and assist guests at the festival, provide them with information about events, screenings, and city logistics.

  • Concierge Service: Provide recommendations and support to guests about local dining, entertainment, and leisure activities, helping them feel welcome in the festival city.

  • Transportation Coordination: Help guests and VIPs with travel arrangements, assist with organizing transportation to and from festival venues for VIPs and guests.

  • Accreditation Desk: Help at the accreditation desk by distributing passes and answering questions.

  • Guest Audience Engagement: Provide helpful information, assist with seating, and ensure every guest feels welcomed and informed.

  • Interpreting: Help our guests understand parts of the event, such as Q&A sections or interviews, by interpreting in English.

Volunteer Coordination & Recruitment

As a Volunteer Coordinator, you’ll take charge of recruiting, training, and managing the Film Olympiad's dynamic team of volunteers. This vital role ensures that each event runs smoothly and that every volunteer is supported, engaged, and motivated. You’ll have the opportunity to shape the volunteer experience from start to finish, working closely with all teams to create a strong, enthusiastic community.

Main Tasks:

  • Recruitment: Actively source and engage potential volunteers through outreach campaigns, social media, and local partnerships.

  • Training & Development: Organize orientation sessions and ongoing training to prepare volunteers for their roles. Provide leadership, guidance, and resources to ensure they are equipped to handle their tasks.

  • Team Management: Oversee volunteer shifts, assignments, and scheduling, ensuring that all festival events and screenings are properly staffed.

  • Coordination with Festival Teams: Collaborate with event planners, screening coordinators, and marketing teams to ensure volunteers are positioned where they are needed most.

  • Retention & Engagement: Foster a positive and inclusive environment to keep volunteers motivated and committed.
